The following full-time or part-time position is available within the SynthImmune Cluster of Excellence as soon as possible, with a fixed-term contract until December 31, 2032: External Funding Administrator (f/m/d)
Your future responsibilities:
- Financial planning, budget monitoring, and allocation in accordance with the requirements of the external funding agency, the funding application, and the decisions of the SynthImmune Executive Board
- Independent budget monitoring (budget: approx. 7 million annually) and control of expenditures for SynthImmune projects. This involves approximately 40 projects at Heidelberg University, Heidelberg University Hospital, and external institutions (DKFZ, EMBL, MPImF).
- Independent administrative management of third-party funded project accounts, including associated reporting (preparation of project reports, financial analyses, statistical analyses, development of financial resource plans, cost calculations for personnel and material requirements, etc.)
- Preparation of statements of expenditure in collaboration with the relevant administrative departments (internal and external institutions)
- Coordinating activities between the participating institutions and the third-party funding provider
- Advising scientific project leaders on the use of funds and reallocations
- Monitoring of expenditures to ensure compliance with spending guidelines
Your Profile:
- Commercial vocational training (with a focus on accounting or administration) or a completed apprenticeship as a tax clerk, and/or a comparable qualification with knowledge in the field of finance (solid knowledge of commercial accounting; knowledge of public sector accounting is a plus)
- Very good MS Office skills, particularly in Excel; knowledge of SAP (R/3) is an advantage
- Proficiency in commercial accounting; knowledge of public sector accounting (kamerale Buchführung) is an advantage
- Ideally, experience in third-party grant management at public research institutions (universities, university hospitals)
- Ideally, experience in dealing with expenditure guidelines and experience in preparing DFG expenditure reports
- Excellent organizational, communication, and teamwork skills
- English language skills required

Compensation is based on pay grade 9b of the TV-L collective agreement. The position is generally available part-time.
